How should I process the migration of the CCS server machine (with or without name change) ?


Replacing the CCS host machine

If you want to replace the hardware for your CCS, you can choose between two ways of replacing the CCS, both with their own pros and cons:

  1. Give the new host machine a new name.
    1. Pros: you can switch between the two CCS with minimal delay (as long as it takes to change the CCS server name on all your servers).
    2. Cons: you have to change the CCS setting on all clients.
  2. Give the new host machine the same name as the old CCS server.
    1. Pros: you don't need to change any settings on any machine except the old and the new CCS.
    2. Cons: all people using the CCS are down for as long as it takes to install the Alienbrain server on the new machine and copying all data from the old to the new machine. Downtime will be approx. an hour plus the time it takes to copy the data in \\<oldserver>\ab_proj$ from the old to the new host machine.


Step-by-step instructions for replacing the CCS with a CCS with a new host machine name

  1. Shut down your Alienbrain server serving as CCS, make a backup of the _InternalData project folder (in \\<oldserver>\ab_proj$\_InternalData) and start up the server again. From this point on any changes done to the users won't make it across to the new CCS until you are using the new CCS.
  2. Install Alienbrain Server on the new machine, using the new Alienbrain Server itself as CCS.
  3. Shut down the Alienbrain Server on the new machine.
  4. Check if there is a \\<newserver>\ab_proj$\_InternalData folder. If so, delete the folder.
  5. Copy the backup _InternalData folder (not the live _InternalData project from the old CCS) to \\<newserver>\ab_proj$\_InternalData.
  6. Start the new Alienbrain Server. Check with the administration client if all users are there.
  7. For each Alienbrain Server using the CCS (including the old CCS): go to the admin client and set the CCS to the new server name (this will shut down briefly each of the servers).
  8. Set the new CCS on all clients using the Alienbrain Settings tool you can find in the start menu.
  9. If you have active projects on the old server you need to move to the new server, you can now lock the projects one by one and transfer them to the new server:
    1. Lock the project using the administration client (page "Active Projects", "Lock Project" button). Once the project is locked, no user can access it anymore, any users logged in will be automatically logged out.
    2. Use robocopy to copy the entire contents from \\<oldserver>\ab_proj$\<project> to \\<newserver>\ab_proj$\<project>. Do not copy the files with the Windows Explorer or any other normal means of copying - the copy tool needs to be able to deal with pathnames longer than 256 characters
    3. If you have any .XML files in \\<newserver>\ab_proj$\<project>, make sure that they reference the new server where required.
    4. Add the project on the new server with the administration client ("Active Projects" page, "Add Project..." button, select the .pro file for each project in \\<newserver\ab_proj$\<projectname>\). Answer "Yes" to the question "Do you want to enable CCS User Management synchronization for this project?".
    5. Now you can access the project on the new server. Of course, any Alienbrain client accessing the project will have to remove the project on the old server from the workspace and add the project on the new server.


Step-by-step instructions for replacing the CCS with a CCS with the same host machine name

  1. Have the new host machine all ready and prepared without Alienbrain installed.
  2. Shut down all Alienbrain servers using the CCS.
  3. Shut down your Alienbrain server serving as CCS.
  4. Make a backup of the _InternalData project folder on the old CCS server (\\<oldserver>\ab_proj$\_InternalData).
  5. Rename the host machine of the old Alienbrain server - you will from this point onwards not be able to access the server anymore unless you rename the server back to its old name.
  6. Rename the new host machine to the name of the old host machine.
  7. Install the Alienbrain Server on the new host machine using the Alienbrain server itself as CCS.
  8. Check if there is a \\<newserver>\ab_proj$\_InternalData folder. If so, delete the folder.
  9. Copy all data from \\<oldserver>\ab_proj$\ to \\<newserver>\ab_proj$\.
  10. Start the new Alienbrain Server. Check with the administration client if all users are there.
  11. If your CCS server hosts active projects, se the administration client on the new server to add the projects one by one ("Active Projects" page, "Add Project..." button, select the .pro file for each project in \\<newserver\ab_proj$\<projectname>\). Answer "Yes" to the question "Do you want to enable CCS User Management synchronization for this project?" for all projects.
  12. Start up all other Alienbrain servers using the CCS.
